  1. Work Purpose
  • Perform administrative and customer care duties
  • Supervise building activities
  • Main Quest
    1. Applying the process to building management
  • Follow the procedures and forms that the company has transferred to the building
  • Organize document editing and record keeping in accordance with S4S company regulations.
  • Entering data and managing software information of the company S4S according to the company’s regulations.
    1. Subcontractor supervision work
  • Directly supervise services, contractors working in the building. Monitoring according to the plan approved by the Head of the Management Board for each department.
  • Contact the contractor under the direction of the head of the department to handle the work at the building.
    1. Customer care work
  • Online;
  • Prepare procedures to welcome guests to the building (tea)
  • Record complaints from tenants and forward them to the head of the department.
  • Receive and transfer documents or opinions of customers to the Management Board and vice versa.
  • Assisting the head of the department to welcome relevant agencies or units to visit the building.
    1. Clerical and administrative work
  • Drafting documents and managing and storing files and documents of the building to ensure safety and high professionalism: official documents, documents, tenant contracts…
  • Manage the building’s meeting room reservation (if any)
  • Management of equipment, working tools and stationery of the Management Board.
  • Management of consumables: receiving, supplying to the performing department and managing the situation of use, inventory …
  • Timekeeping and performance of internal administrative tasks for staff of the Management Board.
  • Organize the management and monitoring of overtime work and work supervision.
  • Manage tenant information, employee information working in the building.
  • Parking management: receiving registration (cancellation, change) of the entire building, printing, issuing, withdrawing vehicle cards… managing information of all vehicles in the building.< /li>
  • Manage information about service providers, relevant agencies, visitors…

* For vacant buildings and the Investor collects rent from tenants:

  • In charge of issuing fee collection, debt reminder and debt management.
  • Regularly update and monitor debts from accounting information provided by the investor (active in obtaining information quickly, accurately and efficiently)
  • Checking the details of each tenant’s debt according to each document arising payable debts, payment due dates, and unpaid debt amounts to report to the Head of Management Board.
  • Make weekly/monthly debt situation report.
  • Enter data and manage detailed information of toll collection and debt on the company’s software S4S.

* For vacant buildings, accounting and management board collect rent:

  • In charge of issuing fee collection, debt reminder and debt management.
  • Make receipts or invoices (if any) for tenants.
  • Make a book to monitor revenue and expenditure.
  • Checking the details of each tenant’s debt according to each document arising payable debts, payment due dates, and unpaid debt amounts to report to the Head of Management Board.
  • Make weekly/monthly debt situation report.
  • Entering and managing detailed information of toll and debt collection on the company’s software S4S.
    1. Coordination and support
  • Coordinating with Security in monitoring and recording incidents when necessary;
  • Coordinating with cleaning during the process of the investor and building companies complaining about the quality of cleaning services at the time of arising dirty in common areas in the building;
  • Coordinating with the receptionist in communicating, sending notices and documents to the Owner, company, contractor working at the building;
  • Technical coordination in handling, tracking and settlement of backlog items of warranty and repair in the building;
  • Regularly exchange information with S4S company departments/departments to perform assigned tasks.
    1. Report
  • Report to the Head of the Management Board on issues as assigned by the head of the department;.
  • Implement reporting regimes according to regulations.

  • Remind VP of tenants and contractors working at the building to strictly follow the set rules.

  1. Education/professional qualifications
  • Graduated from Intermediate: Economics, clerical administration, administrative secretarial skills, tourism.
  1. Skills
  • Communication skills;
  • Computer proficient: Word, Excel;
  • Communicative English.
  1. Experience
  • At least 1 year experience in office administration, customer service.
  1. Apparel
  • Serious, polite, professional;
  • Wear business attire according to S4S regulations.

  • Moral qualities: honesty, agility;
  • Always be polite and courteous to guests;
  • Enthusiastically guide guests, ready to receive information from the Investor and companies;
